To all Department Chairman and Budget Supervisors:
To provide for a more orderly completion of the year, the Purchasing Department is
being instructed to close the writing of 1969-70 purchase orders on May 10th. This will allow
up to a month for the shipping/delivering/billing cycle of the vendors and insure that all items
you wish ^charged against the closing budget will be received from the vendor in time for this
to be done.
You will want to arrange any necessary remaining purchases immediately. (Should there
be any unforseeable emergencies, such as equipment failure, special arrangements will have
to be provided. )
The end of the year is rapidly approaching and this is also a word of appreciation for you
part individually in thinking of the financial best interests of the total program. With your
usual careful attention and full cooperation our budget performance for expenditures is general
ly highly satisfactory. For those areas of the budget where there are problems for the remainder of the year, I am sure that you will exert unusual diligence and even more careful supervision.
Please remember--no 1969-70 purchases to be initiated after May 10th.
John E. Johns, Vice President
